1. Tell Me About Yourself

5. How Do You Handle Confidential Information?

Administrative professionals may have access to sensitive employee, financial, customer, or company information. Employers need to know that you understand the importance of discretion.

Talk about how you protect confidential information in your current or previous roles. This might include following company policies, securing documents, limiting access to information, and being careful about what you discuss with others.

Example answer:

“I understand that administrative professionals may have access to private employee, financial, or customer information. In a previous position, I was responsible for reviewing resumes and made sure to store those documents in a shared, password-protected folder with the HR department.”

You can also mention that confidentiality applies to technology. For example, sensitive company, employee, or client information should not be entered into public AI tools.

6. How Do You Handle New Technology?

Technology continues to change the administrative profession. Employers may ask about your experience with tools such as ChatGPT, Microsoft Copilot, or other AI-powered applications. Employers are looking for administrative professionals who are willing to learn new technology and understand when human judgment is still needed. You don’t need to be an AI expert; you just need to demonstrate a willingness to learn new programs.

7. Why Are You Interested in This Position?

This is your opportunity to connect your experience with the employer’s needs. Before your interview, review the job description and identify two or three qualifications that match your background. Then explain why those skills make you interested in the position. Avoid answers that focus only on what the job can do for you. Instead, show the employer what you can bring to the role.

For example:

“I am interested in this position because it combines the scheduling, customer service, and organization skills I’ve developed throughout my career. I also like the opportunity to support a busy team and take on additional responsibilities.”

Don’t Forget to Prepare Your Own Questions

An interview is a two-way conversation. When the interviewer asks, “Do you have any questions for us?” be ready with a few thoughtful questions.
